Job Description

Job Title: Office Manager

Department : Public Defender

Grade & Wage : $20.02 Per Hour (Non-Exempt)

Status : Full-Time (35 hours per week) with benefits, Union-Eligible

Qualifications : Minimum high school graduate or equivalent required.

Knowledge of office administrative procedures and record keeping practices.

Familiarity with legal terminology, court procedures, and document filing requirements

Strong organizational skills and attention to detail

Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Effective communication skills, both written and verbal

Ability to handle confidential information with discretion and professionalism

Proficiency with standard office equipment and computer applications

Responsibilities: Received and screen incoming telephone calls; provide general information, respond to inquiries and direct calls to the appropriate attorney or staff member.

Coordinate and schedule meetings and court coverage to ensure proper staffing and case coverage

Prepare, draft, and distribute correspondence, letters, and client communications.

Prepare, file, and manage legal documents, including motions, petitions and related filings.

Receive, process, and evaluate client applications for public defender services

Determine client financial eligibility in accordance with applicable guidelines and policies

Establish, organize, and maintain client case files, both physical and electronic

Ensure files are kept current with incoming documents, court orders, correspondence, and other case-related materials

Receive, date-stamp, distribute, and track incoming and outgoing mail

Process applications and paperwork related to Accelerated Rehabilitative Disposition (ARD)

Distribute court orders and related documents to appropriate parties in a timely manner

Process and finalize paperwork upon completion or closure of cases

Maintain office supplies, equipment, and inventory; coordinate ordering and maintenance as needed

Gather, compile, and report statistical and administrative data for departmental reports

Assist attorneys and staff with administrative support as required

Perform such other duties and responsibilities as may be assigned
